Cataloging & Metadata

Bibliographic, patron, and fulfillment data were migrated for a second time in preparation for the implementation of the library services platform Alma. Once migrated, we analyzed, strategized, and implemented clean up projects to ensure a smooth transition to the new system. Checking data for errors or inconsistencies across the system, we identified and removed erroneous ebook records, resolved electronic resource access issues, and successfully hid any items that ungracefully migrated into Alma. 


A third extraction took place immediately before go-live and included updated patron and fulfillment data, including checkouts, fines and fees, and holds placed before the fulfillment freeze on Aug 13, 2021. All data needed to be formatted, cleaned, and validated with software provided by Ex Libris. Working with their team allowed us to prepare the data in a way that was easily accepted by the system and did not pose any significant issues.


During a technical freeze requiring the suspension of new acquisitions, we revised our technical specifications for library catalog records with library vendor GOBI, formerly known as Yankee Book Peddler (YBP). Subscribing to the OCLC Plus service, in addition to the implementation of real-time acquisitions powered by a GOBI API integration, allows us to receive high quality library catalog records through scheduled jobs in Alma. The result for the end user will be increased consistency in search results, a cleaner look and feel when viewing library items in the catalog, and faster delivery of requested electronic material. The metadata services will support both print and electronic acquisitions.

Systems & Software

Gottesman Libraries successfully implemented Alma and Primo VE on Aug 17, 2021. Branded as Educat+, the new library catalog offers an enhanced user interface, increased communication between library and patron, and discoverability beyond the library’s expansive collections. The library system implementation not only included bibliographic, patron, and fulfillment data migrations, but also the configuration of letters and email notices, loan rules for all user groups, defining and mapping user groups, library calendars and hours, resource sharing parameters, staff accounts and permissions, hold and requesting rules, location mapping, discovery design, vendor data, fines and fees, fund allocations, acquisitions configurations, third-party integrations, and more. 


A first for Gottesman Libraries, our new system is integrated with the College’s Student Information System (SIS) and receives scheduled updates daily. Mapping migrated user data from Sierra in order to successfully be updated with SIS data loads in Alma allows for current user status, expiration dates, and more. In hopes of a smoother and less confusing user experience for patron library account management, library users are able to sign in to a single account their UNI and password, accessing all library resources from a single entry point. Through this portal, they can view their library check outs, renew material, save favorite items and searches, and see the status of requested material.

With the implementation of Alma, we will depreciate Educat, SuperSearch, and their back-end partner products. This will allow the library to manage the collection and fulfillment services from one integrated platform. A decrease in manual work, duplicate steps, and servicing multiple platforms will allow library staff to work more efficiently and deliver more consistent service to the TC Community. Acquisitions & Coordinated Collection Development

Library acquisitions underwent and continue to work through a massive overhaul of workflows and procedures as a result of the library system change behind the scenes. Innovative’s Sierra facilitated and arguably determined the workflows for acquisitions for many years, and while reliable and consistent, was much better suited to a print-heavy environment. With an increase in electronic resource use and changes to the way library users search for electronic material, Alma and Educat+ address the full acquisitions life cycle.

The new GOBI API integration allows for real-time acquisitions. This means that when library staff member Usa Ungsunan places an order for an ebook or print book, a catalog and order record for that item will be added to our Alma instance within moments. At this point, the acquisitions process can take two forms depending on the material type: print or electronic. Patrons will notice changes to new print material with shelf-ready processing. Shelf-ready processing includes plastic protective coating on new books, and books are delivered with barcodes, call number stickers, and due date slips. 


For electronic books, we expect a faster turnaround despite our current expedient work in this area. Because we will be able to eliminate cumbersome and tedious steps in the process of ebook acquisitions, patrons may see an increase in same day delivery of electronic books. Invoice processing for both print and electronic monographs will be streamlined, freeing up valuable staff time for other responsibilities. In order to implement these changes, data mapping and integration forms were completed to ensure proper matching and specifications between the vendor system and our Alma instance.


Course Reserves & Digital Delivery

Course Reserves services continued through Summer A and B terms with the fulfillment of reserve materials in list and Word document format. These resources were then uploaded to Canvas by TC faculty, staff, and course assistants. A heartfelt thank you to Simone Schloss for her detailed, focused, and expeditious work in returning course lists to the TC community.


Digital Delivery, or the digitization of print materials for personal use within fair use guidelines, continued through the summer and has ended in preparation for a return to campus in Fall of 2021. Thank you to all the library staff members who digitized materials and facilitated this important service to the TC community while we operated with limited services on-site.


We welcomed Roshnara Kissoon, Reserves and Support Services Librarian, in August of 2021. Before joining Gottesman Libraries, she managed the Reserve collections at the Newman Library, Baruch College, CUNY for six years. Roshnara graduated with an MLS from Queens College, CUNY in 2021 and has a BA in English and Economics from NYU. She has also studied English at NYU’s GSAS and remains an amateur Victorian literature scholar, most recently presenting her work at the MMLA annual conference. Roshnara will play a key role in implementing and engaging faculty in the coming changes to Course Reserves services. Welcome, Roshnara! 


Leganto, a library resource list integration for Canvas, will be live and available for use in Spring of 2022. Leganto offers faculty and students access to library resources from Canvas course modules. In addition to library resources, faculty can also request and add open access resources and materials freely available on the web. Leganto is media friendly, and can support a variety of video material as well as open educational resources. A detailed demo of Leganto can be viewed here. Library staff are excited to be working closely with DFI in the implementation and roll out of Leganto.
